How to Improve Survey Response Rate: 10 Practical Techniques

Switch from "ask everything we're curious about" to "ask only what's needed to make a decision." Completion rates drop roughly linearly with question count:

  • Under 5 questions: completion over 90% is realistic
  • 10–15 questions: the standard sweet spot, 70–85% completion
  • 20+ questions: steep drop-off zone, needs incentives or strong motivation

  • One question per screen, or short scroll lengths

Weak: "How often, on a daily basis, do you typically make use of our service?" Strong: "How often do you use our service?"

Showing how far through the survey the respondent is can lift completion by 5–10% on its own. Knowing the end is in sight keeps people moving forward.

6. Use branching to skip irrelevant questions

If someone hasn't used Product A, don't keep asking detailed Product A questions. Use skip logic and display conditions so each respondent only sees the questions that apply to them (skip logic, display conditions).

7. Minimize open-ended questions

Open-ended fields are the heaviest lift for respondents. Use closed-form questions wherever possible and reserve open text for the one or two genuinely important "why" questions. Make them optional and give a length hint ("~50 words is plenty").

8. Think carefully about send time

For B2B, Tuesday–Thursday mornings generally perform best. For B2C, weekday evenings (8–10 PM) and weekend mornings tend to do well. Test with your audience — and spreading sends over multiple days makes reminders easier to sequence.

Weak: "Survey request" Strong: "3 minutes to share your feedback on our new feature"

State why you're asking and how long it takes in the first line someone reads. Respecting their time is itself a response-rate lever.
